How to Request a Report or Service

Records requests may be made in person, by telephone, or by mail. Before requesting a report by mail, please call the Records Unit at (954) 746-3500 for an estimate of the report's research and production fees. Mail requests must contain a self-addressed stamped envelope, along with a check or money order to cover the fees. The report will be mailed back to you, along with a receipt.

Records/Research Policy & Fees
Pursuant to Sunrise City Code Section 2-398, persons who make public records requests where the nature or volume of public records to be inspected, examined or copied requires the extensive use of information technology resources, or extensive clerical or supervisory assistance by personnel of the City, shall establish with the Finance Department a public records request deposit account to assure payment of the statutory special service charge and such other charges or fees authorized by law in connection with the public records request.

A public records request shall be deemed to require the extensive use of information technology resources or extensive clerical or supervisory assistance by City personnel if the request is such that the production and/or photocopying of documents shall exceed $20.00; will require more than 30 minutes of personnel time to retrieve, examine for confidential exemptions, copy and return; or will require more than 15 minutes of information technology resource use.

The following schedule of fees for the production and photocopying of City records will apply:

*The hourly rate used to calculate the special service charge shall be equal to a City employee's actual hourly rate of pay (if such person is paid by the hour), or an approximation of his or her hourly compensation based upon a weekly salary divided by 40 hours (if such person is not compensated on an hourly basis), together with an additional factor of 25% reflecting said person's hourly value of fringe and pension benefits.


Reports, Checks & Searches
Incident Reports involving a juvenile will be released according to State Statute, and proper identification and/or involvement may be required. Please contact the Records Unit at (954) 746-3500 for requirements regarding the release of any juvenile information.

Accident Reports are confidential and not considered public record until 60 days after the date of the accident. Prior to the conclusion of the 60-day waiting period, accident reports will be released only to the following:
Bullet A party involved in the crash (photo identification required)
Bullet The legal representative of a party involved in the crash (Florida Bar number required)
Bullet The licensed insurance agent of a party involved in the crash, or a party who has applied for insurance
   coverage (Florida license number required)
Bullet A person under contract to provide claims or underwriting information to a qualifying insurance company    (name of insurance company required)
Bullet A prosecuting authority (Florida Bar number required)
Bullet A representative of a radio or television station licensed by the FCC, a newspaper qualified to publish
   legal notices, or a free newspaper of general circulation which qualifies under Statute 316.066(3)(C)
   (name of radio station, television station or newspaper required, along with proof of free distribution, if
   applicable)
Bullet A state or federal agency representative who is authorized by law to have access to these reports
All required credentials or identification must be reviewed by a Records Specialist prior to the report's release.

Grid Searches are reports created to retrieve criminal and/or incident background on a particular address, area or intersection for a specific time frame. Reports are generated at a cost of $255.00 per hour for computer time, billed in quarter-hour increments. A $65.00 deposit is required for all grid searches, which includes the first 15 minutes of computer time.
